This policy explains how Arranged by Charlotte (“we”, “us”) uses personal data when you visit this website or contact us. We are the data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect and why

  • Enquiries and questionnaires: name, email, phone, project location and the details you choose to share, so we can reply and prepare for your project (legitimate interests, or steps before entering a contract).
  • Discovery call bookings: name, email and chosen time, processed by our booking provider to schedule the call and send confirmations.
  • Client projects: contact, address and project information needed to deliver the service, plus invoices and payment records (contract and legal obligation).
  • WhatsApp, phone and email: messages you send us, used only to respond and manage your project.

We do not sell your data, use it for automated decision-making, or add you to marketing lists without your consent.

Service providers

We use trusted processors to run the website and our business, for example our website host, form service, booking calendar (such as Cal.com), email provider and, if you choose, WhatsApp (Meta). Some may store data outside the UK under appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.

Cookies and analytics

This website does not set cookies or use analytics or advertising trackers. Google Maps and the booking calendar are only loaded if you click to open them. See our cookie notice.

How long we keep data

Enquiries that don’t become projects are deleted within 24 months. Client and financial records are kept for six years after the project ends to meet HMRC requirements.

Your rights

You can ask to access, correct, delete or restrict use of your data, object to processing, or request a portable copy. Email arranged.by.charlotte@gmail.com and we will respond within one month. If you are unhappy, you can complain to the Information Commissioner’s Office (ico.org.uk).
